Frequently Asked Questions

What is PDF/A and why use it?

PDF/A is an ISO-standardized version of PDF specifically designed for long-term archiving of digital documents. Unlike standard PDFs, PDF/A ensures that the document will look exactly the same when viewed decades from now. It does this by forbidding features that could cause future rendering issues: no external font dependencies (all fonts are embedded), no JavaScript, no encryption, no external file references, and no audio/video content. PDF/A is the preferred format for government records, legal archives, libraries, and any institution that needs to preserve documents for years or decades.

Will my PDF look different after conversion?

For most documents, the visual appearance will be identical. PDF/A conversion primarily changes the internal structure of the file — embedding fonts, removing dynamic elements, and standardizing metadata. If your original PDF uses uncommon or unlicensed fonts, they will be embedded during conversion, which may slightly increase file size but ensures the document renders correctly on any device. Documents that rely heavily on JavaScript, multimedia, or external content may lose those interactive elements since they are not allowed in PDF/A.

Which PDF/A version should I choose?

The most common versions are PDF/A-1b, PDF/A-2b, and PDF/A-3b. PDF/A-1b is the simplest and most widely supported — it ensures basic visual consistency. PDF/A-2b adds support for layers, transparency, and embedded PDF collections. PDF/A-3b allows embedding files of any format (like XML or Excel) within the PDF. For most archiving needs, PDF/A-1b is sufficient. Check with your organization or regulatory body for specific compliance requirements.

Is PDF/A conversion reversible?

Yes. Converting a PDF to PDF/A is a one-way enhancement process, but you always keep your original file. The tool processes a copy of your document — your original PDF is never modified. If you need the converted document for archiving but also want to maintain an editable version, simply keep the original PDF alongside the PDF/A copy. Because all processing is local, you can convert the same document multiple times without any risk to your original file.
